Who we are
Clavius (“we,” “us”) operates an online booking platform at clavius.app. This policy explains how we collect, use, and share information when you use our service — whether you are a business owner who signs up for Clavius or a customer who books an appointment through a Clavius-powered booking page.
Information we collect
Business owners
- Account details: name, email address, and a hashed password
- Business profile: business name, services, availability, timezone, and settings you configure
- External calendar data: if you connect a calendar for import, we fetch event times and titles to block booking slots and show busy periods in your admin calendar
- Billing information: processed by Stripe; we do not store full card numbers
- Payment settings: if you enable customer payments, Stripe Connect account identifiers
Customers who book appointments
- Contact information: name, email, and phone number (if requested by the business)
- Appointment details: chosen service, date and time, and any custom form responses (e.g. service address)
- Payment information: if the business requires a deposit or prepayment, payment is processed by Stripe on the business's connected account
Automatically collected
- Server logs: IP address, browser type, and pages visited (standard web hosting logs)
- Cookies: session cookies to keep business owners signed in to the admin dashboard
How we use information
- Provide and operate the booking service (scheduling, reminders, calendar sync)
- Send transactional emails on behalf of businesses (confirmations, reminders, booking updates)
- Process subscription billing and optional customer payments through Stripe
- Prevent abuse and protect the security of the platform
- Improve and maintain the service
How businesses use customer data
If you book through a Clavius-powered page, the business you are booking with is responsible for how they use your information. Clavius provides the software; each business decides what to collect on their booking form and how to handle customer data. Contact the business directly with questions about their privacy practices.
Third-party services
We use third-party service providers for hosting, data storage, email delivery, payment processing, and address autocomplete. These providers process data only as needed to operate Clavius. Subscription billing and optional customer payments are processed by Stripe.
Data retention
We retain account and booking data for as long as your account is active or as needed to provide the service. Business owners can contact us to request deletion of their account. Booking records may be retained for a reasonable period for operational and legal purposes even after cancellation.
Security
We use industry-standard measures including encrypted connections (HTTPS), hashed passwords, and access controls. No method of transmission or storage is 100% secure; we cannot guarantee absolute security.
Your choices
- Business owners can update account and business settings in the admin dashboard
- Customers can reschedule or cancel bookings using the link in their confirmation email (when available)
- Contact us at hello@clavius.app to request access, correction, or deletion of your data
Children
Clavius is not directed at children under 13. We do not knowingly collect personal information from children.
Changes
We may update this policy from time to time. We will post the revised version on this page and update the effective date. Continued use of Clavius after changes constitutes acceptance of the updated policy.
